Evidence Passport Platform

When someone asks
what you did,
your record is already ready.

You have legal obligations. Whether you know them or not, whether you like them or not, they apply. Ignoring them is an option. It is just not a cheap one. GovProtocol maps the key statutory obligations for your situation, guides you through each one, and helps you build a structured evidence file: documents, dates, references, and signed attestations. It is ready before anyone asks to see it.

Free to read everything. From £29 a year to keep the evidence file.

You do the work. GovProtocol structures the evidence record before it is needed.

What are you responsible for?

Most regulated entities do not have a clear, organised view of the obligations that may apply to them. Select what you do and we will show you the mapped obligations, the source basis, and what can happen if the evidence is not there when it is needed.

How it works

Two ways to build your evidence file.
One platform.

Every GovProtocol tier gives you the same obligation map, the same plain English guidance, and the same Evidence Passport structure. What changes is how much of the work the platform does for you.

Free & Core tiers
You keep the file.
We govern the structure.
Free → £29 → £99 / yr

Your documents live in a folder you control: a lever arch file on your desk or a folder on your computer. GovProtocol tells you what the record requires, gives every document a reference number, and records what you have and when you got it. If anyone ever asks to see the record, you open the folder.

1
The platform tells you what the law requires, in plain English, with the consequence of not having it.
2
You get the document from the relevant authority, engineer, or supplier: gas certificate, EICR, privacy notice, whatever applies.
3
You save it in your folder named with the reference code the platform gave you. GSC-001. EICR-002. PRIV-001.
4
You log the date and confirm in the app. The platform records your attestation with your name and the date.
5
Export your Evidence Passport : a clean structured PDF showing your logged obligations, their status, and the reference to where the evidence sits in your folder.
Ideal for landlords, sole traders, small charities, and anyone who wants to know their obligations and keep a proper record without paying for professional help to do it.
Plus tier
We handle the documents.
You review and approve.
From £149 → £249 / yr

The platform does not just tell you what is needed. It helps you produce a structured draft. Answer questions about your business in plain English. Speak your account of what happened into the microphone. The platform prepares a draft. You read it, correct anything that is wrong, and approve it. Your approval is what makes it the official record. Not the platform. You. For complex processing activities, have a qualified adviser review before relying on any document.

1
Platform asks you plain-English questions about your business: what data you collect, why, who you share it with. No legal jargon.
2
The platform structures a draft record from your answers: proposed ROPA entries, privacy notice requirements to address, and considerations for your review. A starting point, not a final determination.
3
When an incident occurs, a data breach, a DSAR, a complaint, you describe what happened in plain language. The platform structures it into the required document format.
4
You review every field before approving. Your approval is the attestation. The platform prepares the draft. You are the author of record.
5
A DSAR response that would take hours working from a blank page can be significantly reduced with guided AI structuring and a starting draft to review and approve.
Ideal for businesses that process personal data, regulated professionals, HR managers, compliance officers: anyone who currently pays professional fees to produce documents the law requires on a recurring basis.
In both cases the compliance determination is always yours. The platform explains, records, and assists. It never determines whether you are compliant. That determination belongs to you.

One entity. Key obligations that may apply to you.

For professionals

Your clients are already reading this.
Be visible when they do.

GovProtocol is built around a practitioner channel. The reference content is free and public. Letting agents, accountants, solicitors, HR advisers, food safety consultants, and DPOs are the professionals whose clients will read those pages. A practitioner licence puts your firm at the point where your clients are already looking, and gives you the tools to turn that into a governed evidence service.

Visibility
Present on the reference pages your clients are searching

Qualifying practitioners are listed on public reference pages for their regulated area and local geography, not as an advertisement, but as a relevant professional at the point the reader is asking whether they need help. Included at Growth tier and above.

Part of the licence · not a separate ad buy
Distribution
A branded evidence file for every client

Each client receives a personalised Evidence Passport workspace, co-branded with your firm name, mapped to their specific obligations, and linked back to you as the activating practitioner. The PDF reference summary, the QR code on each page, the workspace: all carry your brand.

Your name on every output · your code on every referral
Economics
Core included. Commission on upgrades.

A Growth licence at £999/year covers 100 client Core workspaces at £10 per client per year. Core (worth £29 direct) is included for your clients as part of your licence. Your commission comes from clients who upgrade beyond Core to Foundation or Plus. If 20 clients upgrade to Foundation at £99, you earn £495 in commission in year one, nearly half your licence cost back, and that compounds on every renewal.

Core included in licence · commission on Foundation & Plus upgrades
Who the practitioner channel is built for
  • Accountants and DPOs: give every business client a GDPR evidence file. They log their own records. You have read-only access to review the file before any ICO contact.
  • HR consultants: equip employer clients with an employment onboarding evidence record. Day one obligations are documented before the first tribunal risk arises.
  • Solicitors and regulated professionals: AML, SRA compliance, and client file governance in one place. Every CDD record, risk assessment, and matter decision is governed from the point it is made.
  • Food safety advisers: give clients a structured HACCP evidence file. The EHO visit finds a ready record, not a panicked search through folders.
  • Letting agents: distribute landlord obligation passports across your managed properties. Each landlord in your portfolio gets a governed evidence file. You have the oversight dashboard.
